Your Mission
As a meeting planner, you will serve as a trusted point of contact for event organizers, guiding every request from the initial inquiry to the final handover to our Banqueting Team. With attention to detail and a natural sense of hospitality, you will ensure that each meeting or event is executed seamlessly and with personal care.
You will be expected to handle a variety of inquiries—from diplomatic and corporate to, on occasion, high-end leisure events—bringing poise, adaptability, and professionalism to every interaction. In addition, you’ll support proactive sales initiatives tied to specific missions and collaborate closely with the Sales team to identify opportunities and nurture long-term partnerships.
Key Responsibilities
Meeting & Event Coordination
- Manage the full lifecycle of events: from tailored proposals, site inspections, and contracting to internal operational handover and invoicing
- Maintain clear and timely communication with Banqueting, Kitchen, Rooms Division, and Finance
- Prepare detailed function sheets and lead internal event briefings
Proactive Sales Missions
- Support targeted commercial outreach efforts in collaboration with our sales team
- Identify potential repeat business or new opportunities through thoughtful follow-up
- Maintain up-to-date records in CRM and PMS (Property Management Systems), ensuring accuracy across all stages
Flexibility & Working Style
While this role follows a predominantly weekday schedule, flexibility is essential. You may be occasionally required to support events, site visits, or client moments during evenings or weekends, in alignment with guest needs and peak event activity.
Your Profile
- A natural communicator with a refined and diplomatic presence
- Fluent in English and French; Dutch is a welcome asset
- Previous experience in hospitality, meetings, events focused service (2+ years minimum)
- Exceptional organisational skills and attention to detail
- Emotionally intelligent, culturally aware, and comfortable with responsibility
- Demonstrates resilience under stress and remains solution-focused during last-minute changes
- Quick to adapt communication and organizational styles to suit different cultural expectations
